How to View  Details of an Existing Patient ?

This document details how to view patient information, create or modify visits, access attachments and prescriptions, and manage invoices.

Steps to View Existing Patients

1. Navigate to the Patient Details Module

  • From the main dashboard, select Patient Details from the left-hand navigation panel.
  • You will see a list of all existing patients.

 How to   search an Existing Patient ?

  • Browse the list of existing patients to find the desired patient record.
  • Alternately you can also use Ctrl + F command (Windows) or Cmd + F command (Mac) shortcut to search the record based on the patient name.
  • Click the Patient name to open the details page.

2. How to view the details of the patient ?

  • Open the Patient Details Page.(Refer to the section “Steps to View Existing Patient” for navigation assistance.)
  • Once the Patient Details page opens, you'll find all relevant information organized under various tabs.
  • Refer to the table below for what each tab contains:
    Tab Name
    Description
    Patient Visits
    Displays all the visits the patient has had so far
    Details
    Displays the basic information of the patient
    Attachments
    Contains all the Prescriptions and Lab requisition related to past visits
    Open Meetings
    Lists all the scheduled meetings with the patient
    Invoices
    Displays all the invoices associated with the patient
    All Fields
    Provides a full list of all fields in the patient record

3. How to Capture the Patient's Medical History?

  • Patients' medical history is recorded during the first visit.
  • To capture the patient history, click on the edit button present at the top right corner on the Patient Details page.
  • On the edit screen, scroll down to find a dedicated section for medical history.
  • Fill in the details under the tabs  - Past History, Family History, MHDP-Mother's History During Pregnancy, Life Space, Patient's Nature, Fears and Dreams.
  • Click on "Save" to record the history.

4. How to Create a New Visit?

  • A new visit must be created every time a patient consults the doctor.
  • To create a new visit, navigate to the Patient Details Page. (Refer to the section - “Steps to View Existing Patient” for navigation assistance.).
  • Click on the Patient Visits tab.
  • Click on the "+" icon to create a new visit. A form will open to capture visit-specific details.
  • Choose the appropriate Stage of the visit from the drop-down. The stages can be
     First Visit,
     1st Follow-up
     2nd Follow-up
     3rd Follow-up
     More Follow-ups
     Nutrition Consultation
     Diagnosis completed
     Cured
     UnCured-Switched Doctor
    ◎ UnHappy-Switched Doctor

      How to capture Visit Specific patient history?

  • Scroll down in the patient visit page to find a section of tabs that capture the visit specific patient history.
  • Fill out the details under the tabs - Presenting complaints, Physical Generals, Observations, Additional Notes, Case Analysis, Recommendation.
 NOTE :
  • Content added in the recommendation tab will be printed on the patient's prescription.

      How to prescribe Medication and Lab Requisitions

  • The Medication Prescription tab allows entry of medicines prescribed during the visit.
  • Each medicine is added as a new row in the form.
  • Refer to the table below for adding medication details.

    When to take the medicine - Ex - 1-0-1

    Remarks if any. - Ex - Pain killer.

  • The Lab Requisition tab is used to record any lab tests prescribed during the visit. This helps maintain a record of all diagnostic recommendations linked to the visit.
  • Each test is added as a new row in the Lab form.
  • Refer to the table below for prescribing lab tests.

  • After filling out all required visit details, click "Save" to finalize.
NOTE :
  • Upon saving, if medications or lab tests are prescribed, a Prescription PDF and Lab Requisition PDF will be automatically generated. These can be found in the Attachments section in the Patient Details page.
  • If the visit is paid, enter the Visit Fees in the charges field. An Invoice will be generated automatically and can be viewed under the Invoice tab on the Patient Details Page.

5. How to Schedule a Meeting with the Patient?

  • To schedule a meeting with a patient, navigate to their Patient Details page.
    (Refer to the section Steps to View Existing Patient” for navigation assistance.)
  • Click on the "Open Meetings" Tab.
  • Click on the "+" icon to create a new meeting. A form will appear to capture meeting-specific details.
  • Refer to the table below for guidance on each field in the meeting form:

    Title
    Enter a title for the meeting. Ex - Follow up meet - PCOD
    Meeting VenueChoose the meeting location . The location can be - In-Office, Client Location, Online.
    From
    Start date and time of the meeting
    To
    End date and time of the meeting
    Host
    The person hosting the meeting. Defaults to the portal user (e.g., doctor/admin)
    Participant
    Add the patient as the participant

  • Click "Save" to create the meeting.
NOTE :
  • If the meeting is set as Online, an invite will automatically be sent to the patient via email.
  • Reminder email before the meeting is also sent to the participants.

6. How to Create an Invoice?

  • To create an invoice, navigate to the Patient Details page.(Refer to the section Steps to View Existing Patient” for navigation assistance.)
  • Click on the "Invoices" Tab.
  • Click on the three dots "..." and select the "New" option. This will open the invoice creation form.
  • Most fields are auto-filled based on existing data. Refer to the table below to manually enter any remaining information:

    Patient Visit Name
    Select the visit for which the invoice is being created.
    Subject
    Enter the purpose or title of the invoice.
    Due Date
    Specify the due date for the invoice.

  • Scroll down to the Invoiced Items section to add billable services: 
  • Each billable item is added as a new row.
  • Select the Service for which the invoice is being generated.
  • Quantity, List Price, and Total will populate automatically based on the selected service.
  • Click "Save" to save the invoice.
  • The created invoice will now appear under the Invoices tab on the Patient Details page.
